Running a communityFailed payments on Skool

When a member's card fails on Skool, Skool already does a fair bit on its own: it retries the charge, marks the member "Declined" and asks them to update their card. What it does not do is send that member a note from you. This guide covers what happens after a Skool failed payment, what Skool handles for you, what the decline reasons mean, and how to add a short personal message that brings the member back. Every Skool step here was checked on 29 September 2026 against Skool's own help centre.

When a member's payment fails on Skool, Skool retries the card on its own, shows a red "Declined" label on the member, and prompts the member to update their card. You can see how many retries it has made and retry by hand. To win the member back, add a short personal DM from you, soon after the decline.

What Skool does on its own when a card fails

Skool does more here than many owners think. Its help article on checking credit card declines describes four things:

  • It retries the charge. On the declined invoice, Skool says you will "see how many payment retries Skool has already done, out of the total."
  • It flags the member. The member shows a "Declined" label in red on your members list.
  • It tells the member. Members see the error "during the recurring billing charge, with a prompt to update the billing method."
  • It lets you step in. On the invoice "you'll also see a way to manually retry the charge on your end." The group creator and the billing manager can both do this.

One more detail matters for your numbers. Skool's analytics definitions say your MRR "includes members who currently have a failing payment but are still within the retry window." So your MRR can look fine while some of that money has not come in yet.

What Skool's help centre does not say today is how long the retry window lasts, or the exact day a member with a failed card loses access. The invoice is the place to check: it shows how many retries are done out of the total.

How to check a declined payment

These are Skool's steps, from its help article:

  1. Go to the member who has the "Declined" label in red, and click Membership Settings.
  2. Click the Payment tab, then click the invoice that was declined.
  3. Read why the card was declined, how many retries Skool has made out of the total, and use the manual retry if you want to try again now.

Why cards fail, and what to tell the member

Skool lists the usual decline reasons and what fixes each one. Skool also notes: "We don't receive detailed decline reasons from banks," so the member's bank is often the fastest fix. Here is the list in short form.

Decline reasonWhat Skool says the member should do
Generic decline, or declined by the bankSome banks block online or international payments by default. Contact the bank or card provider.
3D Secure or SCA promptComplete the bank's approval step. Allow pop-ups, turn off ad blockers and VPNs, or try another browser or device.
Do not honorAsk the card issuer to allow the charge from the SKOOL merchant, and allow foreign charges if paying from outside the US.
Insufficient fundsCheck the card details and the balance or credit limit. A card from a different bank should work.
Card not supportedTry Visa, Mastercard or Amex. Prepaid cards are not supported.
Card velocity exceededThe card hit a spending or transaction limit. Try again in 24 hours.
Invalid accountThe card or its account is closed. Add a different card or update the number.

This table is the most useful thing you can put in a message. "Your card failed" makes the member do the work. "Your bank blocked it, a quick call to them usually fixes it" gives them the next step.

How a member updates their card

Skool's steps from its help article on updating a payment method, which you can paste into your message:

  1. Click your profile picture in the top right, then click Settings.
  2. Click Payment methods on the left.
  3. Click ADD CARD.
  4. Once the card is added, click the three dots menu to remove the old card or move your subscriptions to a different card on file.

What Skool does not do: a message from you

Skool's prompt is Skool's own notice, not a message from you. Skool's own messaging tools do not cover this moment either:

  • AutoDM (Pro plan) is for new members. Skool says they get it "within 1 to 5 minutes of joining the group."
  • The cancellation video (Pro plan) shows on the cancel page, when a member chooses to leave. A failed card is not a cancel.
  • The Zapier plugin (Pro plan) lists two triggers, new paid members and membership question answers. A failed payment is not one of them.

So a personal note after a failed payment is up to you. We cover the Pro-only plugins in our guide to Skool pricing.

A failed card is not a cancel. A short note from you treats the member like a member, not a missed payment.

What a good follow-up looks like

  • Send it soon. The first note should go while Skool is still retrying the card.
  • Keep it short and kind. No guilt, no threats. Many reasons on Skool's list are bank blocks or card limits, not a choice to leave.
  • Give the fix. Tell them where to add a card, and the likely cause if the invoice shows it.
  • Follow up once or twice, then stop. Space the messages a few days apart, and stop the moment they pay.

Here is a three-message example you can copy and change. Write it the way you talk.

  1. "Hi Sam, your card for the community did not go through this month. Nothing is lost. You can add a new card in Skool under Settings, then Payment methods. Shout if you get stuck."
  2. A few days later: "Hi Sam, just checking the card sorted itself out. If your bank blocked it, a quick call to them to allow the SKOOL charge usually fixes it."
  3. A few days after that: "Hi Sam, last note from me on this. If now is not the right time, no problem, just tell me and I will stop asking."

Do it by hand, for free

You do not need any tool to do this. For a small community, a daily check works:

  1. Once a day, open your members list and look for the red "Declined" label.
  2. Open that member's declined invoice and read the reason and the retry count.
  3. Send the member a DM from your own account, with the fix for their decline reason.
  4. Write down the date. If they still show "Declined" a few days later, send a second note.
  5. Stop once they pay. You can also use the manual retry on the invoice rather than wait for Skool's next attempt.

The catch is that you have to remember every day, weekends included, and the message waits until you are online. If members cancel instead of failing to pay, that is a different moment with a different message: see our guide on how members cancel on Skool. Do it automatically with Backpack

Backpack is a Chrome extension plus our servers that does the steps above for you. Its Payment Recovery sends a short sequence of DMs when a member's card fails, from your own Skool account, with the gap between messages set by you. It stops once the payment goes through. It runs on our servers, so it keeps working with your computer off.

You write the messages. Backpack comes with starter wording you can edit or switch off, and we suggest you rewrite it in your own words, like the example above. To send while you are offline, Backpack stores your Skool session, encrypted, and you can revoke it at any time. It is $9 a month for every Skool community you admin, with every feature, including Cancellation Recovery for members who cancel. Backpack is not made by or affiliated with Skool. Try Backpack free for 7 days, or compare it with the other tools in our look at Skool Chrome extensions.

Whichever way you choose, the fix for a Skool failed payment is the same: Skool retries the card, and you send the human note that Skool does not.

FAQ

Does Skool retry failed payments automatically?

Yes. Skool retries a declined card on its own. Each declined invoice shows how many retries Skool has already made out of the total. The member also sees a prompt to update their billing method, and the owner or billing manager can retry the charge by hand from the invoice.

How long does Skool retry a failed payment?

Skool's help centre does not state the length of the retry window today. Open the member's declined invoice to see how many retries are done out of the total. Skool's analytics count the member in your MRR while they are still inside the retry window, so the money may not have arrived yet.

How does a member update their card on Skool?

The member clicks their profile picture, then Settings, then Payment methods, then ADD CARD. After adding it, they can use the three dots menu to remove the old card or move their subscriptions to the new one. Paste these steps into your message so the member does not have to search.

Can I retry a member's payment myself on Skool?

Yes. Skool's help article says the declined invoice shows "a way to manually retry the charge on your end." Open the member, click Membership Settings, then the Payment tab, then the declined invoice. The group creator and the billing manager can both do this.

Why was a Skool payment declined?

Skool lists the common reasons: a generic bank decline, a missed 3D Secure step, "do not honor", insufficient funds, an unsupported or prepaid card, a card limit hit, or a closed account. Skool does not get detailed reasons from banks, so the member's bank is often the fastest fix.

Can Skool send a DM when a payment fails?

Not from you. Skool shows the member a prompt to update their card, but it has no documented setting to DM them in your name when a payment fails. AutoDM greets new members only, and the Zapier plugin lists no failed-payment trigger. A personal note is up to you or a tool.
